Challenges of Managing Project Information Complexity
GGDC jumpstarted the Clark Global City development by building prime areas such as The Medical City Clark, a top-tier, 173-bed, energy-efficient, smart building that features state-of-art medical equipment, and the West Aeropark Quad, a 5-building, LEED Gold, mixed-use development that was designed and built to international standards with world-class, quality infrastructure and is an ideal location for BPO and corporate tenants.
In 2016, after the new management of GGDC team took over, it sought to replace two different construction management platforms in use. With multiple project stakeholders, GGDC needed a flexible platform to manage large volumes of project information consistently across subcontractors, contractors, architects, engineering teams, and the GGDC organization. In addition, GGDC required more transparency to track the status of items due across all project team entities.
After researching several options, the team chose cloud-hosted Newforma ConstructEx. Since GGDC adapted ConstructEx over six years ago, it has been used on several major projects including GGDC’s major project for Clark Global City which included 5.8 million square meters of planned floor space.
Managing performance and accountability through transparency.
Prior to using ConstructEx, it was difficult to track the review status and verify the critical items that could delay the project. GGDC found it challenging to track the status and verify completed review processes through email. They were errors with ConstructEx’s audit trail reporting.
For each transaction in ConstructEx, there is a documented record of the date and time an item was sent, who it was sent to, where the item is in the review process (ball-in-court), and when the response was sent back. Using the ConstructEx custom log reports, the GGDC team can monitor where critical items are in the review process and document responsibilities by discipline for full transparency.
Shortening the review process with flexible workflows.
One of GGDC’s requirements for a construction management platform was a flexible workflow that supports an efficient and intuitive review process for the entire project team. Submittals and RFIs are processed through ConstructEx initiated by subcontractors and contractors. The ConstructEx automated workflows enables project administrators to place team members in roles that determines their access to information at any given point in the project life cycle.
For example, team members placed in the subcontractor role cannot send information directly to the design team. The subcontractor team can only send draft submittals and RFIs to the general contractor team. GGDC’s Document Control Manager provides guidelines and naming conventions for documents uploaded to the system to ensure consistency across the project. Workflows are automated to ensure information is getting to the right person at the right time. Email notifications are sent to team members when an item is sent to them for review. In addition, email reminders are sent when items are coming due or are overdue.
Centralizing document control.
GGDC is also using ConstructEx as a centralized platform to manage document revisions, change orders, and other project documentation. Document packages can be uploaded to ConstructEx, and each sheet can be linked to the ConstructEx Sheet Index. When a revision is made to a sheet, the new version is linked back to the Sheet Index to ensure that the most current version of a document is available to the project team. Teams can also download packages directly from the Sheet Index including the transfer of sheets and drawings to the Newforma Plans mobile app.
